Records catalog

  • Basic steps and deadlines:

    • Knowledge of the structure of the company

      • Getting organizational structure, as well as a brief history of the company (creator of documents) emphasizing the eventual changes of its name, industry or organizational profile

      • Identification of possible work tools/in the archieves level (old list, lists of documents, inventories)

    • Primary information gathering and summary

      •  Distributing the client towards bins/departments/divisions of the internal memo written statements (Annex 1) in order to identify types of documents created at the level of each entity from the establishment plan and lists their dispatch centralization towards Sistec Confidential 
      • Appointment management decision (Appendix 2) of a selection Committee composed of a President, Secretary and odd members, elected from among its own specialists, representing the main creative archive. Chief Officer/person responsible for archives, in law, the Secretary of the selection Commission.

    • Analysis of information, solving the misunderstandings

      • Comparative analysis of the list of documents and charts, lists of documents where necessary, setting time limits for storage of documents according to legal provisions and their historical importance/practice. Record of documents with permanent storage
      • Go to the client’s premises for Headquarters/getting clarification on the part of nominees from representatives of the bin regarding specific documents (if necessary)

    • Drafting their own archive

      • Records catalog-the Records catalog as defined in Law 16/1996 and Instructions concerning the work of the creators and owners of the documents presenting the Records catalog of the customer to verify the fairness of the data and completing these, if necessary. The customer shall present the legal justifications for the periods of preservation laid down as well as any other clarifications requested, in connection with the preparation of the analysis of the Records catalog, in its initial form, along with Inspector/Advisor awarded by the national archives and making possible modifications required
       

    • At the company level classification approval and deposit files at the national archives

      • Obtaining approval from the customer through industrial classification decision management (Annex 3)
      • Submit your final form of Records catalog, in duplicate, to the selection Committee within the National Archives. The classification will be accompanied by a file containing drag address: a copy of the current organisational structure, decision approving the Records catalog, the decision setting up the selection Committee, as well as other documents required by the Inspector awarded

    • Analysis and opinion at national archives classification

      • Getting positive opinion from the Commission of selection within the National Archives
      • Records catalog given to client  in order to introduce in the current use

    • Preparing the Records catalog
    • Consulting for submission at the national archives
